This non-exempt position focuses on the delivery of administrative services and support to Attorneys and Paralegals and special projects as assigned. The position requires knowledge of legal processes, for and terminology and at least  years’ experience in a law firm or corporate law department. The position requires attention to details organization and efficiency to handle the workload of several attorneys. Communication skills are extremely important with both internal department members and clients within the company.
General duties include :
Administrative support to legal organization including:
Proofreading and filing
Preparation of reports and presentation materials
Drafting routine correspondence and other basic documentation
Lead and manage junior administrative staff in performing routine tasks including telephone coverage, record and file maintenance, travel and meeting planning and coordination, and attorney calendar and expense account management
Lead development, improvement and management of department process systems
Train and supervise junior administrative staff
Manage suppliers and contractors
Assist other Law Department members with Law Department assignments.
Two-year Associate Degree required, but four-year Bachelor Degree preferred
Minimum [seven (7)] years’ experience in law firm and/or corporate law department
Experience training and/or supervising junior staff members
Expert with computers (particularly Microsoft Office, including in Word, Excel and PowerPoint, Lotus Notes, e-mail, internet searching, electronic filing system, etc.)
SharePoint experience is preferred.
Highly proficient with electronic billing and payment software (Serengeti, Ariba, Concur)
Highly proficient with electronic document and database management systems ( familiarity with Documentum preferred)
Understanding of legal concepts, terminology and practices
Excellent interpersonal, written and verbal communication skills
Proficient research skills, including basic legal research
Excellent planning, prioritization and organizational skills
Excellent time management skills, ability to support multiple legal professionals and effectively manage a large volume of work
Ability to work independently with minimal supervision, anticipate deadlines and next steps and act on them proactively
Ability to interface effectively with individuals at various levels, both within and outside the company
Ability to act with sound judgment and discretion in handling confidential information
Professional, reliable team player with "can do" attitude
6 Sigma certification or experience is preferred
Fluent in official language(s) of office location and proficient in English; additional language skills a plus
Certified Notary in Indiana is preferred
Compensation and Benefits:
Base rate commensurate with experience.
