Description

Perform the overall administrative duties for the operations.

  • Maintain Leave and overtime schedules for the branch

  • Assist in Ordering of PPE and any tooling requirements for the technicians in liaison with the Safety Officer

  • Maintain Technician tools and vehicles’ asset register

  • Maintain Field Service Fleet Admin (Matrix liaison, managing of Accident Repairs, etc)

  • Prepare and display Brand Centre in Shop performance metrics, planned versus actual on notice board.

  • Filing of facilities check lists, water electricity and telephone bills

  • Responsible for making travel arrangements as requested.

  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. Coordinate and oversee that Brand centre lighting and look and feel is in light with Cummins Corporate image and professional Complete facilities checklists

  • Check that on-site contractors work in accordance with Cummins and other regulations and Oversee contractor service quality and safety. Ensure help given to any contractors requiring assistance.

  • Channel all Time and Incident reports and follow up on all reported incidents to the safety officer

  • Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.

  • Supervises the maintenance of office equipment, including copier, fax machine, etc. Maintenance of utilities – electrical, plumbing etc.

  • Liaise with landlords regarding facilities - ensure timeous rental payments

  • Ensure all emergency tools are in good working order e.g. fire hydrant and fire extinguishers

  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.) and oversee that system control is in a sound working order

  • Coordinate and oversee provision of professional security services to the brand centre

Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution

Open, sort and distribute incoming correspondence including faxes and email.

  • Organize office meetings and functions.

  • Coordinate and oversee regular, supply of kitchen supplies and utensils

  • Coordinate and oversee provision of cleaning services and supply of required cleaning materials and detergents.

  • Relieving in the Reception as and when required.

Qualifications

National Senior Certificate

Basic Financial Courses

3 years of experience

Administration background

At least two years of office management experience

Good planning and organizational skills.

Well-developed interpersonal and communication skills.

Professional appearance and manner.

Computer literacy, specifically MS Word Package

Debtors

  • Handle the Debtors Cash book, and conduct banking as and when required.

  • Handle the Passed Due resolution on 30 day accounts

  • Checking and submitting of credit applications, extended terms request and credit limit increases

  • Pass Parts and Service credit notes

  • SA Warranties, processing of the SA warranty to the customer and raising PO to pay SAW and maintain the policy document and send to SAW and CSA warranties Margin Analysis – investigate all high or low margins on each invoice weekly and report to Finance

Creditors

Provide Petty Cash with appropriate approvals

Raising PO and placing orders on Suppliers – motivating and submitting all vendor applications to CIP.

  • Revenue Recognition

Weekly recons, delivery and way bill reports

Monthly to submit revenue recognition file to Finance with all declarations

Ensure that monthly expense are capture if not raise an accrual with Finance also ensure the reversal is done as soon as the invoice

Reconcile daily banking and submit to CBS
