Admin Assistant

Description

First line contact with Cummins Customers. Should at all times be courteous, friendly and helpful. Also provide Administrative assistance to the Leadership Team.

Switchboard

Operate Company Switchboard and Answer all incoming calls

Arrange repairs in event of breakdowns in phone system (With necessary authorisation).

Take messages as necessary (Messages to be completed in full).

Reception

  • Attends to the reception of visitors to the Company and general control of access to premises through the reception area.

  • Maintains staff movement register during working hours.

  • Remain well groomed, courteous and cordial towards all visitors.

  • Provide information to assist clients or refer them to appropriate contacts.

  • Maintains reception counter and overall reception area in a tidy state.

  • Assists with admin functions for the Area Manager and also assist with certain HSE functions.

  • Maintain distribution lists on mailing groups for the branch.

  • Assist with maintenance and security aspects within the branch.

  • Assisting with queries on Rascal system concerning passwords, logins and printers

  • Submission of insurance claims Forms to AON and AIG

  • Raising purchase orders on Rascal (Finance System) for payments to be made

  • Assist Office Manager with other tasks allocated and follow through to completion

  • Managing the C-Tracking system for fleet cars (i.e. running speeding reports and loading information for installation/de-installations to be done)

Administrative

  • Maintain Leave Register for the Branch

  • Assist in Ordering of PPE and any tooling requirements for the technicians in liaison with the Safety Officer

  • Maintain Technician tools and vehicles’ asset register

  • Maintain Field Service Fleet Admin (Matrix liaison, managing of Accident Repairs, etc)

  • Prepare and display Brand Centre in Shop performance metrics, planned versus actual on notice board.

  • Filing of facilities check lists, water electricity and telephone bills

  • Responsible for making travel arrangements as requested.

  • Comparison with payroll. Nil discrepancies. Measure monthly.

  • Maintain high Service levels to ensure customer satisfaction

  • (Maintain all relevant information). No queries regarding the fleet.

  • Measure continuously. Provide support to HOD’s in managing the fleet Asset Register available and accurate. No discrepancies, CAPEX purchases records and filing. Measure monthly.

  • Performance graphs displayed as per Management’s requirements.

  • Work with the Admin Lead on Debtors/creditors duties

  • Weekly revenue recognition

  • Provide a prolific Administrative support to the HOD’s in the branch.

  • Present an appropriate image for the company.

Qualifications

  • Matric/N3

  • Accredited certificate course in business and office administration - optional

  • Computer literacy

SKILLS AND EXPERIENCE REQUIRED

  • Switchboard operation

  • Good communication skills

  • Good presentation and a pleasant manner.

  • Punctuality and Willingness to go the extra mile when necessary

  • Good administrative and organizational skills

  • Customer oriented and focused

Any other administrative function delegated to you by your Line Manager.
