POSITION: Executive Assistant
REPORTING TO: Jeff Van Poucke, President
LOCATION: Mississauga, ON
FUNCTION: Assisting the President and the Regional Leadership Team with administrative tasks as well as preparation of documents, coordinating business meetings, events, and corporate travel while maintaining confidentiality and professionalism at all times.
Assists the President and the Regional Leadership Team with administrative tasks including coordinating meetings and events, document preparation.
Maintains confidentiality and professionalism at all times.
Coordinates monthly employee birthday list and prepares cards for President’s signature and mailing.
Coordinates corporate travel arrangements, hotel and car and organizes general factory visits and/or promotional travel events and manages relevant corporate credit card using Concur.
Preparation of material for management meetings and DAOP review meetings.
Coordinate/regional leadership meetings, conferences and special events logistics, including preparing and delivering agenda and materials, keeping minutes and following up on meeting actions
Manages employee service awards including retirements and corporate awards.
Editor for Express (monthly bilingual newsletter).
Manages various sport events tickets including organization of parking tickets, transportation, restaurant reservations, etc.
Coordinates special functions such as customer’s Christmas events, golf outings, employees’ special events, etc.
Prepares, coordinates and communicates all Company announcements (other than job postings).
Translation of documents (English/French)
Maintains inventory of articles in safe.
Other duties as required.
College Diploma in Administrative Studies / Executive Assistant
5 years’ experience as a Senior Administrative Assistant
Fluently Bilingual (French/English) written & spoken
Strong computer aptitude; experience with Microsoft Office: Excel, Word, PowerPoint, and Adobe Professional
Confidentiality and good judgement required
Must have a valid driver’s license (driver’s abstract may be required)
Excellent communication, interpersonal and negotiation skills
Customer service focus, maintain professional image
Attention to detail, good organizational skills
Ability to multi-task and prioritize workload to meet deadlines, work under pressure
Self-starter, demonstrated energy and enthusiasm
